How we handle your personal information

Last updated: 23 October 2026

EAD Consultants Pty Ltd (ABN 92 671 695 131) (“EAD”, “we”, “us”) respects your privacy. This policy explains what personal information we collect, why we collect it, who we share it with and how you can access or correct it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy applies to everyone we deal with, including clients and prospective clients, job candidates and contractors, referral partners, suppliers and visitors to our website.

1. What information we collect

We only collect information that we reasonably need for our business. Depending on how you deal with us, this may include:

  • Clients and enquiries: your name, business name, email, phone number, role, the services you are interested in and anything you tell us about your business.
  • Job candidates and contractors: your CV, work history, qualifications, skills assessments, interview notes, references, availability, expected rates, identity documents for verification, and bank or payment details if you are engaged through us.
  • Referral partners: your name, business name, contact details, ABN, the type of business you run and the businesses you refer to us, plus payment details for commissions.
  • Website visitors: technical information such as your IP address, browser type and the pages you visit, which our hosting provider records in standard server logs.

We do not ask for sensitive information (such as health information or criminal records) unless it is needed for a specific role and you agree to provide it, or the law requires or allows us to collect it.

You can deal with us anonymously or under a pseudonym when making a general enquiry. However, we will need your real details to provide services, assess you for a role or pay you.

2. How we collect it

Usually we collect information directly from you, for example when you fill in a form on our website, email or call us, apply for a role, attend an interview or sign an agreement. Sometimes we collect it from other people, such as your referees, a partner who refers you to us, a client you will be working with, or job platforms and professional networking sites where you have made your profile available. Where we collect information from someone else, we take reasonable steps to make sure you know about it.

3. Why we collect and use it

We collect, hold and use personal information to:

  • respond to your enquiry and give you the information you ask for;
  • provide our business consulting, IT consulting, recruitment, website, hosting, phone and answering services;
  • find, assess and present candidates to clients, including for free trial placements;
  • engage and manage contractors and pay them;
  • run our Partner Program, including tracking referrals and paying commissions;
  • invoice clients, keep accounts and meet our tax, legal and insurance obligations;
  • improve our services and website; and
  • tell you about our services, where you would reasonably expect this or have agreed to it. You can opt out of marketing at any time by using the unsubscribe link or contacting us.

4. Who we share it with

We do not sell your personal information. We may share it with:

  • Clients: if you are a candidate, we share your profile with clients you are being considered for. We will let you know before we put you forward for a role.
  • Our team and partner companies: our staff and contractors, and businesses we work with to deliver services, only as needed for that work.
  • Service providers: businesses that help us run EAD, such as website hosting, email and document storage, CRM, HR and attendance, project management, accounting and payment providers. They may only use the information to provide their service to us.
  • Professional advisers: such as our accountants, lawyers and insurers.
  • Government and regulators: where the law requires or allows it.

5. Overseas disclosure

EAD is based in Australia, and much of our team works from the Philippines. This means your personal information is likely to be accessed by our team in the Philippines. Some of our service providers store data in other countries, including the United States, Singapore and countries in the European Union. We also work with clients in the United States, United Kingdom and Canada, so a candidate’s information may be shared with clients in those countries.

Before we share information overseas, we take reasonable steps to make sure the recipient handles it in a way that is consistent with the Australian Privacy Principles, for example through contracts and confidentiality obligations.

6. Automated decisions

We do not use computer programs to make decisions about you that could significantly affect your rights or interests without a person being involved. The chat assistant on our website gives set answers to common questions and does not collect or store your personal information. If this changes, we will update this policy.

7. Cookies and third-party content

Our website does not use advertising or tracking cookies. Our pages load fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with Google. Google’s privacy policy explains how it handles that information.

8. How we keep it secure

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, change or disclosure. These steps include access controls, a password manager, multi-factor authentication where available, and limiting access to people who need it for their work. When we no longer need information for any lawful purpose, we take reasonable steps to destroy it or de-identify it.

If we have a data breach that is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by law.

9. Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it if it is wrong, out of date or incomplete. Contact us using the details below. We will respond within 30 days. We may need to confirm your identity first. If we refuse your request, we will explain why in writing, unless that would be unreasonable.

10. Complaints

If you think we have mishandled your personal information, please contact us first using the details below. We will look into your complaint and respond in writing within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992.
